1. Information we collect
1.1 Information you provide
Depending on how you use the Site, you may provide:
| Context | Examples of data |
|---|---|
| Individual membership application | Name, gender, date of birth, phone, address, email (optional), WeChat (optional), race / ethnicity (optional), preferred language(s) (optional), how you heard about AAAB (optional) |
| Business membership application | Company name, DBA (optional), business email, contact name, contact email, business type, phone, address, how you heard about AAAB (optional) |
| Vendor / Sponsor application | Business name, business type, contact name, phone, email (optional), address, WeChat (optional) |
| Performer application | Name, phone, email (optional), WeChat (optional), program description |
| Volunteer application | Name, date of birth, gender, phone, email (optional), WeChat (optional), skills / how you can help |
| Parade application | Organization name, contact name, phone, email (optional), WeChat (optional), address |
| Contact / email signup | Name, email, message content |

After a membership application is approved, we may assign a member number for internal administration and search. Individual members use format A00001 (the letter A plus five digits). Numbers A00001–A00100 are reserved for staff to enter historical members manually. New individual approvals are issued sequentially from A00101, skipping any A number already in use. Business members use a separate sequence in the format B00001 (the letter B plus five digits), issued independently from B00001. That number is created on approval, not when you first submit the form.
1.2 Payment / donation information
If you donate through a third-party payment link (for example, Stripe), payment card details are collected and processed by that provider under their privacy policy. AAAB does not store full payment card numbers on our servers.
1.3 Automatic / technical data
When you visit the Site, we or our hosting providers may automatically collect limited technical data such as IP address, browser type, device type, approximate location derived from IP, pages viewed, and referring URLs.
2. How we use information
We use personal information to:
- Process membership, volunteer, performer, vendor/sponsor, and parade applications
- Communicate with you about AAAB programs, events, and your applications
- Maintain the member roster for authorized site administrators (including member numbers issued after approval)
- Operate, secure, and improve the Site
- Comply with legal obligations
- Process donations through third-party payment providers
We do not sell your personal information.
3. How we share information
We may share information with:
- Service providers who help us host the Site, send email, operate the database, or process payments (including Stripe), under appropriate agreements
- Event partners or venues when needed to run a program or festival activity you applied for
- Professional advisors (for example, accountants or counsel) when reasonably necessary
- Authorities when required by law
Admin access to application and membership records is limited to authorized site administrators. We do not sell personal information.
4. Sensitive information
Date of birth and gender are collected on volunteer and membership applications when those fields are required. We store them for membership and volunteer administration. They are not used as primary public search keys in our admin tools.
5. Retention
We keep application and membership records only as long as needed for the purposes above, including nonprofit operations, legal, and archival recordkeeping.
6. Security
We use reasonable administrative, technical, and organizational measures to protect personal information. No method of transmission or storage is 100% secure.

9. Children
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we collected information from a child inappropriately, contact us and we will review.
10. Third-party links
The Site may link to third-party websites, widgets, or payment pages. Those services have their own privacy policies. We are not responsible for their content or practices.
11. Bilingual Site
